Personal Information Protection Policy

Toyotsu Logistics Service Co., Ltd. (hereinafter, “the Company”) understands that we have a social responsibility to engage in appropriate handling and safe management of information provided from our customers (all business partners including the Company’s suppliers and representatives of parties with whom the Company’s plans to transact in the future), and believes that this is fundamental for building ongoing relationships of trust with our customers.
In order to protect the personal information provided by our customers, the Company complies with the Act on the Protection of Personal Information and related laws and regulations regarding the protection of personal information, as well as the requirements stipulated in guidelines set out by the minister responsible. We have also defined the following basic policy as a foundation for our efforts to appropriately handle and protect personal information.

  1. Appropriate Collection of Personal Information and Notification Regarding Purpose of Use

    The Company identifies the purpose of use to the greatest extent possible and utilizes appropriate means to collect personal information (personal information as defined in the Act on the Protection of Personal Information). When collecting personal information, we announce the purpose of use in advance, or give notice or announce the purpose to customers soon after collection. However, when directly receiving the information in writing, etc., from the customer, we will specify the purpose of use in advance (hereinafter, these measures as referred to as “giving (given) notice”).

  2. Use of Personal Information

    The Company will not use personal information in a manner that may encourage or induce illegal or unjust acts. The Company will only use personal information within the scope of the purpose of use for which we have given notice to our customers. However, this does not apply where we receive authorization from the customer in advance, or when it should be handled as an exception in accordance with the law.

  3. Provision of Personal Information to Third Parties

    The Company will not disclose or supply personal data (refers to personal information contained in personal information databases or the equivalent, where “personal information databases or the equivalent” refers to systems which contain a collection of information (including personal information) which is systematically organized so as to be searchable for particular personal information, as defined by the Act on the Protection of Personal Information and Cabinet orders) to a third party without obtaining authorization from the customer in advance. However, this does not apply in the following cases.

    1. When based on laws and regulations;
    2. When it is necessary to protect the life, wellbeing, or property of an individual, and it is difficult to obtain the consent of the customer;
    3. When there is a special need to improve public wellbeing or promote healthy child development, and it is difficult to obtain the consent of the customer;
    4. When there is a need to cooperate with a national government organ, local government, or person entrusted thereby with performing the functions prescribed by laws and regulations, and obtaining the consent of the customer is likely to interfere with the performance of those functions;
    5. When providing information to a subcontractor within the scope necessary for the execution of the Company’s business.
  4. Management of Personal Information

    The Company strives to keep the personal information it handles as correct and up-to-date as necessary to fulfil its purpose of use. Furthermore, we take necessary and appropriate measures to prevent the leakage, loss, damage, or improper access of this data. We also supervise employees and subcontractors in an effort to implement appropriate management.

  5. Inquiries Concerning Personal Data in Our Possession

    Within a reasonable scope, the Company will respond to requests from a customer (including a representative of a customer) for disclosure, notice of purpose of use, amendment, cessation of use, cessation of provision to third parties, etc., concerning personal data of that customer in our possession (personal data for which the Company has the authority to disclose, amend, etc., the content, excluding information where it is stipulated by government ordinance that revelation of its existence may damage public or other interests) in accordance with the law, following confirmation that the request was made by the actual customer (or representative).

  6. Complaint Handling

    The Company will seek to promptly and appropriately address complaints from customers regarding the personal information handled by the Company, and will strive to have internal systems in place for this purpose.

Information on Disclosure Items, etc., Based on the Act on the Protection of Personal Information

Toyotsu Logistics Service Co., Ltd. (hereinafter, “the Company”) will disclose the following items to our customers in accordance with the provisions of the Act on the Protection of Personal Information. Please view these items.   5. Procedures to Request Disclosure, Notification of Purpose of Use, Correction, Suspension of Use, Suspension of Provision to Third Parties, etc.

    Requests for disclosure, notification of purpose of use, correction, suspension of use, suspension of provision to third parties, etc., will be accepted through the written procedures prescribed by the Company. Please note that we may be unable to respond to your request unless you follow the prescribed procedures.     1. When Requesting Disclosure or Notification of Purpose of Use

      (1) How to make a request

      For information on how to request disclosure or notification of purpose of use, please contact the “Contact Point for Requests and Inquiries” listed above. We will send the designated written documents by postal mail.

      (2) Identity verification, etc.

      If the request is made by the actual individual, we will use the following documents to verify the identity of that individual.
      Residence card or alien registration card
      Excerpt from family register
      Copy of driver’s license
      Copy of passport
      If the request is made by an agent, please submit a document (power of attorney, etc.) that confirms the authority of the representative. We will also verify the identity of the agent.

      (3) Fees

      If the Company responds to your request in writing, you may be charged a designated fee by bank transfer. If the Company sends you documents by mail, you will also be required to pay the fee for ordinary registered mail.

      (4) Response method

      The Company will engage in disclosure via the method specified by the customer (including the agent; the same applies hereinafter) from among the following methods. However, if disclosure by the method specified by the customer incurs a large cost, or if disclosure by that method is difficult, the Company will notify the customer of the situation and engage in disclosure via method “a.” If the customer does not specify the method of disclosure or issue an objection, the Company will disclose information via method “b.”

      In regard to notification of the purpose of use, the Company will issue a response document from the Company to the customer’s address (the address stated on the designated document) by registered mail with proof of delivery. If the customer decides not to have disclosure for all or part of retained personal data or records provided to a third party or decides not to receive notification of the purpose of use, or if the relevant information does not exist, the Company will immediately notify the customer of that situation.

      (5) When not possible to disclose information or provide notification of purpose of use

      Please note that in the following cases, the Company may not be able to respond to a customer request for disclosing information or providing notification of purpose of use.

      • a. If there are any omissions, errors, etc., in the written content or attached documents
      • b. If the authority of the agent cannot be confirmed (if the request is made by an agent)
      • c. If based on laws and regulations
      • d. If the customer does not pay fees

      (6) When the Company does not possess the requested personal information

      The Company will inform the customer that the Company does not possess the requested personal information.

    2. When requesting correction, suspension of use, etc.

      Based on laws and regulations, the aforementioned Contact Point for Requests and Inquiries of the Company will respond to requests after confirming that the request was made by the actual customer (including an agent of the customer). The following items of the aforementioned “I. When Requesting Disclosure or Notification of Purpose of Use” also apply to “Ⅱ. When requesting correction, suspension of use, etc.”

    (1) Safety management measures within the Company

    When the Company has our employees handle personal information, the Company engages in the necessary and appropriate supervision to ensure the safe management of the personal information; for example, the Company requires employees to maintain confidentiality and conducts periodic inspections of the handling status. When the Company outsources all or part of the handling of personal information, the Company engages in the necessary and appropriate supervision to ensure the safe management of the outsourced personal information; for example, the Company conducts regular audits based on the contract with the outsourcing company.
